1. Introduction

Datarsoft Tech ("we", "our", or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website or use our institutional ERP solutions. We respect the privacy of our users and the data of the institutions we serve.

2. Information We Collect

We may collect information about you in a variety of ways. This include personal data such as your name, email address, phone number, and institutional affiliation when you contact us or request a quote. For our ERP solutions, we process data provided by institutions, which may include student records, faculty information, and administrative data, strictly in accordance with our service agreements.

3. How We Use Your Information

We use the information we collect to provide, maintain, and improve our services, to respond to your inquiries, for institutional compliance (like NAAC/NIRF reporting assistance), and to develop new products. We do not sell your personal information to third parties.

4. Data Security

We use administrative, technical, and physical security measures to help protect your personal information and institutional data. While we have taken reasonable steps to secure the information you provide to us, please be aware that despite our efforts, no security measures are perfect or impenetrable.

5. Data Retention

We will only keep your personal information for as long as it is necessary for the purposes set out in this privacy policy, unless a longer retention period is required or permitted by law (such as tax, accounting, or other legal requirements).

6. Biometric Data & Facial Embeddings

For our face attendance feature, we process biometric data with the highest industry standards of privacy and security. Below are the specific rules and policies under which our attendance features operate:

What we collect

Our face attendance feature collects facial embeddings — numerical vector representations derived from your face — for the sole purpose of verifying your identity during attendance check-in and check-out. We do not collect, store, or transmit facial photographs, images, or raw biometric scans at any time.

How we use it

Facial embeddings are used exclusively to authenticate your identity within the attendance system. They are never used for advertising, behavioral profiling, analytics, or any purpose beyond attendance verification.

Sharing & Disclosure

We do not sell, share, license, or disclose your facial embedding data to any third party, including analytics providers, advertising networks, or machine learning services.

Storage

All facial embedding data is stored on our own secure, on-premise servers under our direct control. This data is not transmitted to or stored on any cloud infrastructure or third-party system.

Retention & Deletion

Your facial embedding data is retained only for the duration of your active employment or membership with your organization. When your account is deactivated or your membership ends, your facial embedding data is permanently deleted from our servers. You may also request deletion of your facial data at any time by contacting info@datarsoft.tech.
